The Situation
Percheron was engaged to complete a large-scale title research project with a complex scope and aggressive, multi-phase delivery schedule spanning four separate timelines. The initial requirements included 30 years of surface title research, with up to 80 years of encumbrance research for surface Limited Title Certificates (LTCs), as well as full patent-level title research for all mineral tracts. All research required courthouse-based investigation across a significant volume of tracts.
Early in the engagement, the project faced considerable challenges. Limited field support and the loss of an agent mid-project reduced capacity, contributing to delays and a missed initial deadline. Compounding these issues, internal misalignment around expectations and responsibilities created communication challenges, increasing risk to delivery and client satisfaction.
The Strategy
Recognizing these risks, Percheron initiated a direct alignment discussion with the client to reset expectations and establish a realistic path forward. Through this conversation, the scope was refined to standardize research to 30 years, with optional extensions to 80 years for encumbrance research when warranted. Revised timelines were agreed upon to balance accuracy, quality, and deliverability.
Operational adjustments were implemented immediately, including prioritized tract workflows, strengthened field-level quality checks, and improved coordination between research and review functions. Percheron emphasized consistent, transparent communication with the client, shifting the project from reactive execution to proactive and disciplined project management.
